This article explores the functionalities of PIM Exports within the NextChapter Platform. PIM (Product Information Management) Exports allow users to export product data and information based on specific criteria and formats.


Introduction

When dealing with extensive product data, manually enriching all the information can be time-consuming. Exporting from PIM streamlines this process, making product enrichment much more efficient.


Tabs in PIM Exports

1. General

  • Name: The name displayed in PIM under the Exports tab.

  • Code: A unique code for the export to prevent duplication.

  • Active: Indicates whether an export is active. Useful for scheduled exports that need to be temporarily paused.

  • Type:

    • NextChapter: For NextChapter shops. Only NextChapter personnel will configure these.

    • XLSX: Exports data into an Excel file.

    • CSV: Exports all data into a CSV file.

    • All Data in XLSX: Exports all data into a standard Excel file. This is useful if you don’t need definitions or mappings and simply want a full export of all fields in Excel.

      For the All Data in XLSX type, you also get these options:

      • Include Deleted Data: Includes all deleted data in the export.
      • Column Name Language Selection: Choose the language for column names, especially useful for multilingual shops.
  • Other Settings:

    • Execute As: Always set to Standard.
    • Task Scheduling: Manage scheduled exports (e.g., every day at 10:30 PM).
    • Incremental: Exports only the changes since the last export when enabled.
    • Included Imports: Specify which imports to include in the export, such as only data imported via a POS system.
    • File Name: The name of the export file (must include the file type, e.g., .xlsx or .csv).
    • Storage Type: Determines where the file is saved. If set to None, the file will only be downloadable from history. Other options include sFTP or FTP locations if configured.
    • Execute: Once all settings are ready, check this box, save, and proceed. The export will be downloadable within a few minutes from history or the sFTP location.

2. Filters

Define filters for the export based on properties defined by NextChapter. Filters can be combined using "And" or "Or" logic.

Example of Filters:

Export all blue, yellow, or black products from Webshop A of the brand Nike.

  • Click the black plus icon and select the property Webshop. Set it to Webshop A.
  • Click And in the top left.
  • Add a rule with the blue plus icon specifying the brand as Nike.
  • Add new rules with the black plus icon, set to Or. Choose the property Color and list Black, Blue, and Yellow.

3. Data Filters

This section is managed by NextChapter.


4. Definition

For XLSX exports, specify which fields to include in the Excel file. Add field names as they should appear in the Excel output. For multi-value properties, select the parser Comma-Separated.


5. Parser

For fields with a Comma-Separated parser, specify the delimiter for the export, such as a comma or semicolon.


6. Mapping

Map the fields from NextChapter PIM to the fields in your export definition.

  • Left Side: Field name in NextChapter PIM.
  • Right Side: Field name as per the export definition.

7. History

View the export history, including execution dates and times. You can also download exports here after selecting Execute in the General tab and saving your settings.
